Returns and Refunds Policy

At Bear Grounds Coffee Co., we strive to ensure every item you receive supports both quality and our mission of bear conservation. Because we are a small nonprofit, returns and refunds are limited—but we will always try to make it right if there’s an issue.


1. Donations

All donations are non-refundable. Donations go directly toward supporting our conservation work and are tax-deductible as allowed by law.


2. Returns for Physical Products

Eligible items include:

  • Coffee
  • Books
  • Stickers
  • Apparel or merchandise

We only accept returns or offer exchanges in the case of:

  • Items damaged during shipping
  • Incorrect items received
  • Manufacturing defects

To request a return or exchange, please contact us within 7 days of delivery at [email protected]. Include:

  • Your order number
  • Photos of the item and packaging (if damaged)
  • A brief explanation of the issue

We may offer:

  • A replacement item
  • Store credit
  • A partial or full refund (at our discretion)

3. Items Not Eligible for Return

We cannot accept returns on:

  • Opened or used coffee
  • Personalized or made-to-order items
  • Sale items or promotional giveaways
  • Any item requested for return more than 7 days after delivery

4. Shipping for Returns

If a return is approved:

  • We may provide a return label depending on the issue and item value
  • Otherwise, return shipping costs are the buyer’s responsibility

5. Refunds

If a refund is approved:

  • It will be issued to your original payment method within 7–10 business days
  • We’ll notify you once the refund has been processed
  • Refunds may take additional time depending on your bank or payment provider
